Task
Why it is load-bearing
10
Reconcile the bank feed to zero
Unreconciled feeds are how abandoned files start, and matching is not coding: confirm what each transaction was, not just that the amounts pair up
5
Photograph receipts into the file
Attached to the transaction, substantiation is done forever - the shoebox digitised at the moment of purchase, not in July
10
Raise and chase invoices
Debtors worked weekly get paid. Worked annually, they become bad debt write-offs
5
The judgment pile
The three or four transactions needing a real decision - GST coding, entertainment versus amenities, private-use splits - decided while you still remember what they were
The whole system, in half an hour a week
Add the calendar layer (BAS dates, super per payday, payroll finalisation) and the annual layer (30 June planning, stocktake, the accountant handover) and that is the entire discipline. Thirty minutes weekly beats three days quarterly, which beats three weeks of reconstruction annually - the same work at one times, three times and fifteen times the cost.
Where DIY books actually fail
Not arithmetic, because software does that. The failures are classification: GST coded on GST-free items, private spending through the business file feeding a Division 7A loan account nobody is watching, entertainment claimed as deductible amenities, asset purchases expensed instead of depreciated past the thresholds, and contractor payments coded in ways that miss reporting and super obligations.
Each is invisible in the file and expensive in a review. The realistic division of labour: you or a bookkeeper run the rhythm, and an accountant reviews the judgment calls quarterly and does the structural work the software cannot.
Frequently asked questions
How do I do bookkeeping for a small business?
Run a weekly cycle in proper software: reconcile the bank feed, attach receipts digitally, manage invoices, and make the handful of coding judgment calls, with quarterly accountant review of the judgment layer.
How long should bookkeeping take?
About 30 minutes a week for a typical micro or small business. The cost multiplies the longer transactions wait to be coded.
Do I need a bookkeeper or can I DIY?
The rhythm is very DIY-able. The failures are classification calls, which is what periodic professional review exists for. Volume - payroll, inventory, high transaction counts - is what tips the rhythm itself to a bookkeeper.
What does my accountant need at year-end?
A reconciled file, receipts attached, debtors and creditors reviewed, and stock counted - the state the weekly rhythm produces automatically.
My books are a year behind, how bad is it?
Always reconstructable, because bank data survives. The urgency is whatever lodgments the backlog is holding up, since those carry the penalty and director liability clocks.
